Privacy & POPIA Policy
How WizzWeb collects, uses, stores, shares and protects personal information — in plain language.
1Who is responsible for your information?
For personal information processed for WizzWeb's own business purposes, Threshnee Naidoo, trading as WizzWeb, is the responsible party for purposes of the Protection of Personal Information Act 4 of 2013 (POPIA).
WizzWeb details
As a sole proprietorship, WizzWeb is not a separate juristic person from its proprietor.
2When this policy applies
This policy applies when you visit wizzweb.co.za, submit a website form, email or call us, request a quote, become a client, interact with WizzWeb on social media, or otherwise provide personal information to WizzWeb.
Where WizzWeb processes a client's customer or lead information only on that client's documented instructions, the client is ordinarily the responsible party and WizzWeb acts as an operator for that processing. The applicable client agreement supplements this policy.
3Personal information we may collect
| Category | Examples |
|---|---|
| Identity and contact | Name, surname, business name, job title, email address, telephone number and contact preferences. |
| Enquiry and relationship | Messages, consultation requests, briefs, correspondence, meeting notes, approvals and service history. |
| Client and business | Brand guidelines, account links, business information, campaign requirements, product/service information, compliance instructions and client-supplied content. |
| Account and platform access | Delegated permissions, page/account identifiers and access information needed to perform agreed social-media or advertising services. WizzWeb prefers delegated access rather than shared passwords where available. |
| Financial and contractual | Quotes, invoices, proof of payment, payment references, package details, signed agreements and billing records. WizzWeb does not operate a card-payment gateway on the basis of the current EFT model. |
| Website and technical | IP address, browser/device information, referral data, pages viewed, cookie choices and related technical logs where these are generated by the website, hosting environment or configured analytics tools. |
| Marketing preferences | Whether you have consented to marketing, objected, unsubscribed or otherwise changed a communication preference. |
4Where we obtain information
We usually obtain information directly from you, your authorised representative, the business you work for, your interaction with our website, or from platforms and accounts to which you give WizzWeb authorised access.
We may also receive business contact information from publicly available professional or business sources where lawful and relevant to a legitimate business purpose. Public availability does not remove POPIA obligations.
5Why we process personal information
- To respond to enquiries and arrange consultations.
- To prepare quotes, agreements, invoices and service schedules.
- To onboard clients and deliver social-media, content, advertising, analytics and related services.
- To obtain approvals, manage revisions, report on work and provide client support.
- To maintain records, prevent fraud, secure accounts and protect WizzWeb's legal rights.
- To comply with tax, accounting, POPIA, PAIA, ECTA, consumer-protection and other applicable obligations.
- To operate, secure and improve the website.
- To send direct marketing only where permitted by POPIA and other applicable law.
6How processing is justified
Depending on the circumstances, WizzWeb processes personal information because it is necessary to take steps at your request or perform an agreement, because a law requires or permits the processing, because you have consented, or because WizzWeb or a third party has a legitimate interest that is compatible with your rights and the requirements of POPIA.
Where consent is the basis for processing, you may withdraw that consent prospectively. Withdrawal does not make earlier lawful processing unlawful.
7Client customer and lead information
Social-media management, community management and paid advertising can expose WizzWeb to personal information belonging to a client's customers, prospects or followers. Where WizzWeb handles that information only to deliver the client's instructions, WizzWeb acts as an operator and will process it only for the agreed service, restrict access, use reasonable safeguards and return or delete it where reasonably possible when the service ends, subject to lawful retention and backup requirements.
8Who we may share information with
WizzWeb may disclose personal information only where reasonably necessary to service providers and platforms used to run the business or deliver agreed work, such as website hosting, email, cloud storage, WordPress/Elementor, social-media platforms, advertising platforms, analytics providers, professional advisers and accounting or compliance services.
We may also disclose information where required by law, court order, lawful regulator request, or where necessary to establish, exercise or defend legal rights.
WizzWeb does not sell personal information to advertisers or data brokers.
9International and cross-border processing
Some technology, cloud, social-media and advertising providers may process information outside South Africa. Where section 72 of POPIA applies, WizzWeb will use a permitted transfer mechanism or other lawful basis, taking reasonable steps appropriate to the service and information involved.
10How long we keep information
WizzWeb keeps personal information only for as long as it is needed for the purpose for which it was collected, the ongoing client relationship, legitimate record-keeping, dispute resolution, backups, or a legal retention obligation. Financial, tax and contractual records may need to be kept longer than ordinary enquiry information.
When information no longer needs to be retained, WizzWeb will delete, destroy, de-identify or securely archive it as appropriate and reasonably practicable.
11Security safeguards
WizzWeb applies reasonable technical and organisational safeguards appropriate to a small digital service business, including access controls, secure delegated account access where available, device and account security, confidentiality practices, limited access to client information, software updates and reasonable backup practices.
No internet system can be guaranteed completely secure. Please do not send unnecessary special or highly sensitive personal information through ordinary website forms or email.
12Direct marketing
WizzWeb will not treat a normal website enquiry as unlimited permission to send electronic marketing.
For unsolicited electronic direct marketing, WizzWeb will obtain consent where required by section 69 of POPIA. Where the law permits marketing to an existing customer for WizzWeb's own similar services, the customer will be given a reasonable, free and uncomplicated opportunity to object. Each electronic marketing message will identify the sender and provide a way to stop further marketing.
You can opt out at any time by using the unsubscribe method provided or emailing info@wizzweb.co.za.
13Cookies and website technologies
The website uses cookies or similar technologies where needed for site functionality and may use third-party integrations. The current site includes Google Tag Manager and a Trustindex/Google review integration. The exact technologies and tags can change as the site is updated.
See the Cookie Policy for categories, controls and the current approach to non-essential tracking.
14Your POPIA rights
Subject to POPIA and applicable limitations, you may ask WizzWeb to confirm whether we hold your personal information, request access to it, ask for correction or deletion where appropriate, object to certain processing, withdraw consent, or object to direct marketing.
We may need to verify your identity before acting on a request. Requests can be sent to info@wizzweb.co.za. Prescribed POPIA forms, including forms for objection and correction/deletion, are also available from the Information Regulator.
15Children and special personal information
WizzWeb's website and standard services are directed at businesses and adults. We do not intentionally request special personal information or personal information of children through ordinary website forms.
If a project genuinely requires such information, WizzWeb and the client must establish an appropriate lawful basis, consent or authorisation before processing it.
16Security compromises
If WizzWeb has reasonable grounds to believe that personal information under its control has been accessed or acquired by an unauthorised person, WizzWeb will investigate and take the notification and remedial steps required by section 22 of POPIA, including notifying the Information Regulator and affected data subjects where required.
17Questions and complaints
Please raise a privacy concern with WizzWeb first so that we have an opportunity to investigate it. You also have the right to approach the Information Regulator (South Africa).
